Payroll Coordinator – Bilingual (English & French)

Job description

IO Solutions is looking for a detail-oriented and experienced Payroll Coordinator to ensure that all employees are paid accurately and on time, while also having a clear understanding of their compensation. Reporting to the Workforce Planning and Management Team Manager, the incumbent will be responsible for compiling, validating, and processing worked hours, bonuses, and payroll adjustments for all our contact centers. The ideal candidate will work closely with the workforce management and accounting teams to ensure data accuracy and smooth operational flow.

Schedule may vary depending on payroll cycles: schedule adjustments and increased availability may be required during processing periods.

Responsibilities

  • Extract and analyze daily worked hours reports (login reports)
  • Compile and calculate paid hours and bonuses for all employees and sites
  • Compile management hours and training hours for new hires
  • Create and maintain payroll import master files for each payroll cycle
  • Send daily paid hours data to the workforce management team
  • Monitor and process payroll adjustments (salary changes, referral bonuses, payroll errors, medical leaves, etc.)
  • Manage records related to absences, leaves, terminations, and role changes
  • Maintain up-to-date employee payroll records (hours, vacation, benefits, deductions, etc.)
  • Process monthly payroll accurately and within required timelines
  • Calculate eligibility for various incentive programs across sites
  • Identify and report offline agents to the workforce management team for invoicing purposes
  • Respond to payroll-related inquiries in a timely and professional manner
  • Process administrative requests and payroll-related claims
  • Collaborate with the accounting team and provide administrative support as needed
  • Perform any other related duties associated with the role

Qualifications

  • Minimum of one year of experience in payroll management
  • Advanced proficiency in Excel (essential)
  • Excellent verbal and written communication skills in both French and English (bilingualism required)
  • Strong attention to detail and accuracy
  • Excellent organizational, time management, and prioritization skills
  • Ability to work in a fast-paced environment and meet tight deadlines
